Operation Location: This position is to support Neudorfer Engineering, an Integra company, in Seattle, Washington. Neudorfer Engineers, Inc. is certified by the National Environmental Balancing Bureau (NEBB) and meets the needs of building owners and mechanical contractors worldwide. Neudorfer was founded in 1970.

Purpose of Position

The purpose of the Administrative Assistant to the Project Manager is to provide support the Service business. This includes assisting both office staff and field technicians in their roles to provide the highest level of service to our customers

Essential Functions & Responsibilities

New Project set-up: Ensure all mandatory documents are accounted for a project. Such documents include drawings, specifications, submittals for the job. Enter the job into the accounting software to build a job folder.

• Equipment: Maintain the overall equipment logs. Work with Project Manager to make sure necessary equipment for an upcoming project is available. Track equipment maintenance to ensure it is scheduled timely.
• Safety: Work with the Site QA/QC to update the Safety manual annually. Provide Site-Specific Safety Plans when required.
• Badging: Monitor badging process for military and private sites to ensure they are in place.
• Project Support: Assist with compliance documentation, schedules, and agendas.
• Company Proposals: Support writing and building job proposals to include project references and descriptions.
• Support Technicians: Provide support to Field Technicians which may include travel arrangements, ensuring they have what is needed for a job ie. safety equipment, trucks and help with miscellaneous unforeseen issues.

Necessary Skillsets

• Strong math skills
• Mechanical aptitude
• Proficient in excel
• Attention to detail
• Highly organized and efficient

Education and Experience

• High school diploma mandatory
• College degree preferred
• Minimum 3-5 years strong administrative experience
• 1-2 years experience in an Engineering or similar environment preferred.
