The Executive Assistant Role

We are seeking a tenacious Executive Assistant to support a Santa Fe, NM based 2x New York Times bestselling author, founder and CEO of a wellness brand which has been awarded Inc 5000 fastest growing company 5 years in a row. In addition she is a wife, mother (to a six year old girl) and world renowned functional medicine physician. Her company AMMD, LLC is comprised of nearly 50 employees and is located in Austin, TX. She owns homes in both Santa Fe and Austin and travels frequently between the two.

You will be responsible for the maintenance and organization of the CEO’s personal and professional affairs, specifically prioritizing activities and competing demands, so experience as a high-level executive and/or personal assistant will be ideal. She and her husband recently completed a modern-style home that is smoke and fragrance free in Santa Fe, NM set on 5 acres and in this role, you will own the daily operations of the home including the full-time housekeeper as well as coordinate, oversee and schedule with contractors and vendors. The parents are very hands on in their daughter’s life, so no child care will be required.

You are a highly organized master of execution, have a keen eye for detail and a quick problem-solver who can work independently with little direction. A go-getter who thrives when you have multiple projects going on and love to wear multiple hats to keep pace with a fast moving CEO, wife and mother. You are a well rounded, thoughtful, proactive, independent, and resourceful professional, a straight-shooter with excellent management and executive level communication skills.

What You’ll Do

  • Discuss plans, events, and general home requirements/projects.
  • Supervise all maintenance, repairs, and renovations to home grounds.
  • Maintain all schedules and provide support for family: camps, transportation, trips, meetings, etc. (ie., anticipate days when the daughter is off school and see if the family wants to plan a trip or outing for those days, present options, etc.)
  • Own all administrative tasks related to running and maintaining the household. (ie. room organizing, researching and presenting a multi-week gluten-free meal plan and grocery list, etc.)
  • Plan CEO’s travel to headquarter office in Austin, TX and to various PR functions.
  • Some travel may be required.
  • General errands, as requested.
  • Other responsibilities as assigned.

Knowledge, Skills, and Abilities

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Experience in property management including the coordination of housekeeping, landscaping, maintenance, and contractors and other vendors.
  • Technical guru - i.e., set up for remote meetings, interviews, podcasts, social media wizard, etc.
  • Great leadership and project management abilities.
  • Excellent interpersonal and communication skills.
  • Exceptional time management and multitasking abilities.
  • The ability to be on call at all times, including evenings, weekends, and holidays.
  • 3-5 years in high-level executive assistant, house management, project management, or related experience.
