ATA Services, Inc. is currently seeking Accounts Payable specialists to work on a temporary assignment with the State of NM. We have positions in Santa Fe and Albuquerque, NM.

• Pay rate: $25.00 per hour.
• Start Date: ASAP
• Albuquerque position expected to last 90+ days
• Schedule: Monday – Friday; 8am – 5pm
• Location: Albuquerque and Santa Fe

JOB DUTIES

• SHARE Financial: vouchers, reports/queries.
• Monitor: Invoices for large fluctuations, ensure receipt of goods/services, tax on services, shipping/handling and collect the requesting manager signatures on each invoice; Encumbrances (PO’s); Vouchers to ensure payment received by vendors.
• Data entry: Tracking Payments spreadsheet by FY; Monthly spreadsheets by fiscal year- “Monthly Services”, “Utilities”, and “Contracts”; Monetary Requests; Snack Attack Inventory.
• Request snack orders to vendor. Prepare documents daily for snack choices. Fulfill daily orders to residents.
• Generate reports/queries in the SHARE Financial system to track vouchers, outstanding warrants, and monthly reporting.
• Ensure receipt of invoices from the vendor is timely according to each PO type.
• Ensure receipt of goods and Services. Obtain requesting manager signatures.
• Receive and process invoices.
• Review all invoices for accuracy according to purchase orders.
• Provide all voucher documentation to the Finance Director for first-level approval.
• Follow all internal SATC, DOH, DFA, process and procedures, and MAP’s. Ensure all State rules regulations and statutes are followed.

EXPERIENCE NEEDED

MUST have experience with SHARE Oracle Financial System; Accounts Payable; Monetary Requests; Encumbrance Monitoring; Monitor PO’s; Monitoring Resident Account Balances, Snack Inventory; Data Entry; Vouchering; Ensure receipt of Goods and Services; Ensure Invoice Approvals; Generate Financial Reports.
