Job Description :

This position is primarily responsible for ensuring the efficient and timely operation of the Blair operations and supporting department and corporate management.

The Administrative Specialist will work with Blair Management as well as key corporate personnel in Quality, Safety, Inventory, Human Resources, Accounting, and Environmental to ensure our processes are maintained and records are complete, organized, and readily accessible.

This position primarily reports to the Blair Plant Accountant and the Blair Maintenance Manager but will require taking direction from other Smart Sand managers. This position is based at our Blair facility.

Essential Duties and Responsibilities

  • Participates in the ISO internal & external audit process.
  • Assist in managing detailed environmental, Quality, and ISO-related events calendar to ensure monthly, quarterly, and annual measurables are reviewed and reported on.
  • Adheres to purchasing policies, processes, procedures, and safety regulations.
  • Physically receives goods and verifies the packing slip.
  • Assists at month-end which may include researching open invoices or purchase orders properly closing out purchase orders and proving out items received not yet invoiced, when applicable.
  • Routes and research invoices when requested by the Finance & Accounting department.
  • Participates in inventory cycle counts.
  • Creates POs and routes for necessary approval.
  • Manage the Fuel Master System and track hours.
  • Assists in the creation of inventory items and managing inventory locations in Sage.
  • Assists in the entry of inventory usage in Sage.
  • Assist in facilitating the new vendor approval process as needed.
  • Ensures the warehouse and all inventory storage areas are clean and organized.
  • Packages, ships, and tracks items that leave the site for return or repair.
  • Demonstrate constant commitment to safety, professional behavior, and environmental considerations.
  • Work cooperatively to comply with facility-wide environmental and quality management systems.
  • Perform other duties and special projects as assigned.

Education and Experience

  • Associates in a related and relevant field or equivalent experience.
  • High school diploma required.

Knowledge, Skills, and Abilities

  • Excellent oral and written communication skills are required.
  • Knowledge of purchasing methods, procedures, research methods, and techniques.
  • Knowledge of accounting principles as related to procurement.
  • Attention to accuracy and detail is essential.
  • Excellent organizational skills.
  • Ability to prioritize tasks and manage numerous assignments simultaneously.
  • Strong people skills both oral and written.
  • Initiative-taker with the ability to work with limited supervision to meet deadlines.
  • Knowledge of purchasing methods, procedures, research methods, and techniques.
  • Ability to analyze data and make sound judgments.
  • Proficiency in the use and application of the following:
  • o Required: Microsoft Office Suite
  • o Preferred: Working knowledge of Sage or another ERP system
  • Have the willingness to work the hours necessary to assist in the month-end closing process.
  • Operate forklifts, telehandlers, pallet jacks, skid steers, Kubotas, and any other equipment as needed.
