REDW has an amazing opportunity for a Marketing Proposal Specialist who will serve as the liaison directly linking business pursuit teams with the proposal creation team, coordinating the flow of proposal activity, assisting with prioritizing work in progress, and helping to maintain adherence to established proposal schedules.
What will your day look like?
A typical day will require you to manage the pitch and proposal response lifecycle from start to finish. This will include organizing and conducting proper kick-off calls, determining response requirements, assigning responsibilities, compiling and organizing information, creating new content, quality control, and ensuring on-time delivery.
The following functions fall under the responsibilities of the Proposal Specialist:
SPECIFIC ROLES AND RESPONSIBILITIES
Proposal Admin:
- Ensure information for opportunities, clients and desired prospects is entered and updated in Firm’s CRM accurately and consistently.
- In collaboration with the Proposal Champion and Department administrator, ensure that supporting documentation is completed (Go/No Go Decision, Request for Proposal Assistance) in CRM.
- Review and analyze RFPs and RFIs to gain comprehensive knowledge of proposal requirements and manage process of securing required contributions including bios, client lists, descriptions of technical approaches, to respond with all requirements and deadlines.
Proposal Process Coordination:
- Coordinate the proposal development and creation process from start to finish, managing response timelines and activities throughout the process.
- Develop and manage all aspects of the proposal process workflow, including the initial outline when required.
- Collaborate with internal support teams to expedite the proposal process and create deliverables.
- Provide status updates to team members and management.
- Schedule and, whenever possible, attend proposal strategy meetings with the proposal pursuit team in order to understand key issues and integrate this meeting information into schedule management and content development.
- Review and correct quality control elements such as RFP compliance, formatting, structural elements, typos and grammatical errors.
Scheduling and Deliverables:
- Build a schedule for creating and receiving internal proposal deliverables within the proposal milestones and deadlines.
- Track and manage the schedule of all proposal activity, prioritizing and resolving conflicts with assistance of Proposal Champion and Practice Leaders when needed.
- Coordinate with support functions to ensure appropriate resources are assigned to support the proposal.
- Meet regularly with Business Development Manager and Business Development Associate to assist in prioritizing proposals to provide timely deliverables and allocate time appropriately.
Content and Requirements:
- Request content from subject matter experts and other stakeholders/departments.
- Review and edit content created by service professionals.
- Manage custom document design process.
- Inspect proposal document prior to delivery.
- Build proposal drafts using template content.
- Research, write and edit content, as requested, tailoring messages to address industry and business needs of prospective clients.
- Maintain central repository of templates, FAQs, best practice examples.
- Train document specialists on proposal document production and use of software.
- Develop content for templates.
Images and Design:
- Collaborate on creating and/or collecting graphics, charts, tables, images, logos, etc.
- Design the look and flow of the proposal document using proposal templates.
- Build PowerPoint presentations using templates.
Review Process:
- Proofread and edit proposals as required.
- Coordinate the review process with key stakeholders.
- Make changes based on feedback.
Monitoring and Archiving Completed Proposals:
- Ensure proposals are delivered complete and on deadline.
- Track completed proposals (won/lost/pending decision).
- Organize and archive proposal documentation and other assets.
- Design and implement processes and tools for storage, retrieval, and updating of proposal materials and resources.
Other Related Responsibilities:
- Serve as systems support for proposal content management, assuring that content is maintained in updated condition.
- Support user success with proposal software system(s), serving as in-house expert.
- In collaboration with the marketing team, create new department team member biographies. Coordinate quarterly department review of biographies.
- Demonstrate the highest level of integrity in providing complex, confidential, administrative support with tact and diplomacy; appropriately handle sensitive and confidential situations and documentation.
REQUIRED KNOWLEDGE AND SKILLS
- Strong time management skills with attention to detail.
- Working knowledge of RFP and proposal process.
- Strong, functional expertise in writing, editing, and proofreading.
- Advanced working knowledge of MS Office Suite
- A self-starter who demonstrates professional project management skills, written and verbal communication skills, and interpersonal skills.
- Working knowledge of proposal software systems strongly preferred.
- Knowledge of CRM solutions (Dynamics 365) preferred.
- General understanding of the role of business development within an advisory/CPA environment.
- Strategic thinking and problem-solving capabilities.
- Good judgment and decision-making skills.
- Ability to recommend and implement process-improvement and product marketing solutions.
MINUMUM QUALIFICATIONS AND EXPERIENCE
- Minimum of 2 years of proposal management and production experience.
- Project management experience in roles that required the ability to prioritize and establish cooperative relationships with other professionals, preferably in a professional services firm environment.
- Flexibility to accommodate workload peaks and extended workdays as needed.
- Bachelor’s degree in Communications, English, Business, Journalism, or other related field.
